Fulfill.com Partners with Velix to Bring Automated Carrier Invoice Reconciliation to 3PLs and Brands

Brands and 3PLs make shipping decisions based on the shipment quote and live rate their WMS or TMS pulls from the carrier. The invoice that arrives later carries surcharges that rate never showed. A shipment quoted at five dollars can come back with a twenty-five dollar fee on the back end that nobody knew about, and on the freight side a missed dock appointment or a mis-declared pallet does the same thing. Finding those charges means pulling data from the carrier, the operational tools, and the accounting system into one place, matching every line by hand, and breaking out each charge to rebill the customer before the month closes. Without that reconciliation, brands absorb unexpected costs that erode margin, while 3PLs miss charges that should be passed through to customers. Fulfill.com wanted Velix in the network because this is the gap in accounting that the team hears about on matchmaking calls and that Greg Airel worked through as an operator.

Velix takes in carrier invoices in whatever form they arrive, as PDFs, spreadsheets, or emails, and matches each charge to the shipment, the rate card, and the contract it belongs to. When a charge does not match, it flags a discrepancy for review and assembles a dispute package with the supporting evidence to file with the carrier. For 3PLs the same reconciled data flows into billing: fulfillment, value-added services, and carrier rebilling land on customer invoices without re-keying, and a customer’s billing question is answered from the reconciled record instead of a search through email, with a detailed backup report of every shipment and billable event that can be shared with the customer. Operational and financial systems stay in sync automatically.
It sits in the middle of a brand’s or 3PL’s existing WMS and accounting stack rather than replacing either, and it covers freight as well as parcel. Velix customers recover 2% to 10% of transportation spend annually, cut reconciliation time by 60%, and take two to three days a week out of customer billing and rebilling.
